PREFLIGHT

Running a flight school still feels like flying without instruments.

Most of what schools rely on today wasn't built for aviation — it's spreadsheets, paper, and group chats, stitched together by memory.

Scattered systems

Bookings in one spreadsheet, flight logs on paper, maintenance dates in someone's head. Nothing talks to anything else.

Maintenance surprises

Engine and propeller time-to-overhaul tracked by memory, not by the hour — until an aircraft is grounded at the worst possible moment.

Weather checked in isolation

METAR, TAF, and NOTAM pulled up separately, every time, for every leg — never attached to the flight it was actually checked for.

Safety reports that go nowhere

A near-miss gets mentioned in the hangar and forgotten. No record, no pattern, no way to catch it happening again.

Scheduling conflicts found too late

An instructor is booked twice, or unavailable, and nobody notices until the student shows up.

No real audit trail

Who changed what, and when? For records that matter — safety, finance, licensing — "I think so" isn't good enough.

CRUISE

Everything the school runs on, in view.

Not mockups — this is the actual product, running on a real training day.

OVERVIEW

One screen, the whole day.

Everything that matters this morning, without opening five different tools to piece it together.

  • Today and tomorrow's schedule, at a glance
  • Live weather for the home base, no separate lookup
  • Fleet status and engine/propeller health in one place
  • Safety and maintenance items surfaced automatically — nothing to remember to check
FlightDesk AI dashboard showing today's schedule, weather, fleet status, and alerts
SCHEDULING

A calendar that speaks aviation.

Bookings are color-coded by flight type and understand things a generic calendar doesn't.

  • Training, rental, scenic, and event flights — color-coded on sight
  • Flights that cross midnight split correctly across both days, not lost or miscounted
  • Instructor time off shown directly on the calendar, not buried in a separate page
FlightDesk AI weekly booking calendar, color-coded by flight type
FLIGHT LOG

Every flight, fully logged — and briefed.

Plan ahead or log after the fact. Either way, the lesson, the weather, and the paperwork stay attached to the flight, not scattered across a logbook and someone's memory.

  • Lesson-linked training records with instructor grading and notes
  • Live METAR for departure and alternate, right on the flight row
  • One click for a printable briefing sheet or an ICAO-format flight plan
FlightDesk AI flight mission log with lesson, live weather, and briefing links
FLEET & MAINTENANCE

Engines and propellers, tracked to the hour.

Time-to-overhaul counts down as hours accumulate — automatically, from every logged flight. Maintenance gets scheduled ahead of time, not discovered when an aircraft is already needed.

  • Engine and propeller pool with remaining-hours tracking per aircraft
  • Completing a maintenance event auto-schedules the next one on its interval
  • Airworthiness status computed automatically — not a manual checklist

PEOPLE

Currency and readiness, watched automatically.

Medical certificates, ratings, English proficiency, instructor currency — tracked per person, flagged before they lapse, not after.

  • Student progress tracked lesson by lesson against their training syllabus — grades and hours per lesson, not just a running total
  • Instructor certificates, ratings, and currency status at a glance

DEBRIEF

No fake numbers here — just what's actually true.

We're not going to invent customer logos or made-up statistics. Here's what we can honestly tell you instead.

Built by someone who flies

Not a generic tech team guessing at what a flight school needs — built from real operational experience, feature by feature.

Real aviation data

Live METAR and TAF worldwide, live NOTAM from official sources — genuine data feeds, not decoration.

Still shaped by real schools

Currently in hands-on pilot testing. What ships next is shaped directly by the schools using it today.

Your data stays yours

Every school's records are fully isolated from every other school's, by design — verified, not just assumed.

No per-user fees

Add every student and instructor you have — the price only moves with your fleet, never your headcount.

Every module included

Scheduling, maintenance, safety, finance, documents — nothing held back behind a higher tier.

English, French & Spanish

The whole interface, not just the marketing page — set per school in Settings.

No sales call required

Sign up and start the trial yourself — talk to us only if and when you actually want to.

FLIGHT PLAN

Three plans. Everything unlocked on all of them. Pay for your fleet, not your feature list.

No feature is behind a paywall on any plan — the only thing that changes is how many aircraft you can run.

ATC CLEARANCE
€79 / month

Up to 3 aircraft. Unlimited students, instructors, and bookings.

FAQ

Questions worth asking before you sign up

Straight answers, including where we're still early.

What is FlightDesk AI, exactly?

An operations platform for flight schools — scheduling, flight logs, maintenance and TBO tracking, instructor currency, safety reporting, and invoicing, all in one place, with an AI assistant that proactively flags problems (an engine approaching TBO, an expiring medical) instead of waiting for someone to check.

How much does it cost?

Three flat plans, no per-user fees and every module included on all of them: ATC Clearance at €79/month for up to 3 aircraft, Holding Point at €109/month for up to 5 aircraft, and Take Off at €149/month for an unlimited fleet. Upgrade or downgrade any time as your fleet changes.

Who is it built for?

Small and mid-sized independent flight schools — the ones still running on spreadsheets, or finding that enterprise platforms built for 50-aircraft operations are more complexity and cost than they need. It's not trying to be everything for every operator on day one.

Does it include a training syllabus, not just a flight log?

Yes — bookings and flights link to a lesson in your school's training programme, and each student's progress is tracked lesson by lesson, with grades and hours, not just a running total. You can build your own syllabus, or start from a structured PPL(A) programme template (ground and flight lessons, plus the theoretical-knowledge syllabus) and adjust it to your school. That template import is rolling out now — ask us where it stands for your onboarding.

Do you support FAA Part 61/141 or EASA compliance?

Not as a certified compliance framework — we're honest about that. You can track any document, licence, or currency date you need, and the system will remind you before it expires, but we don't (yet) claim built-in validation against specific national aviation authority rulesets. If that's a hard requirement for your school today, we're not the right fit yet.

Is there a mobile app?

Not yet — it's genuinely a gap we know about and are working on. The web app works in a mobile browser, but it wasn't designed for a phone screen, so today it's better suited to a desk than the flight line.

Is my school's data isolated from other schools using FlightDesk AI?

Yes — every organization's data is fully separated at the database level, not just hidden in the interface. One school can never see another's bookings, students, or records.

Can I try it before paying anything?

Yes — 60 days free, no credit card required. Run it against your own real schedule and fleet and see honestly whether it's useful before deciding anything.

Who's actually behind this?

A commercial pilot with a background in air traffic services and air navigation, currently working in flight planning at an airline and instructing part-time — not a generic software team guessing at what a flight school needs.

Live Fleet Tracking and Automatic Flight Logging — What We're Building for 2027

A live map of the fleet and flight times logged from GPS instead of a pilot's memory. What it is, how it will work, and an honest timeline: targeting Q1 2027, tested on our own aircraft first.

The Future of AI in Technical Oversight for Flight Schools and Aeroclubs

AI won't sign off an aircraft's airworthiness. What it can realistically do is watch the numbers a busy school doesn't have time to watch — and say so before they become a problem.

Why "Currency Expired" Is the Wrong Question for Scheduling Software

Most tools check one expiry date. Real EASA currency rules like FCL.740.A are compound, rolling-window conditions — a worked example of what a correct check actually requires.

Why a Small Flight School Needs a Safety Management System

"SMS is for airlines" is a common assumption — and often wrong. What it actually requires, why the hardest part isn't the paperwork, and a proportionate way to start.
